A backup adult on the list: ask about this day before handing over

Your family has listed an aunt as backup if the usual collecting adult becomes unavailable. This Wednesday, a clash arises. An adult tells your child their aunt will collect, but has not asked her yet. The list describes someone you can contact, not someone who has already accepted this day.
Try using the backup arrangement as a request first. The person holding the original arrangement remains responsible for clarification until another adult actually takes over.
Ask about the whole specific task
“Can you help?” gives little information. Name the day, time, collection location and what happens afterwards. An adult might be available to collect but unable to spend the rest of the afternoon with your child.
A request could be: “Can you collect on Wednesday at five at the agreed entrance and accompany our child home? Please say no if it does not work.” Leave a real choice. A previous backup arrangement should not make it difficult to be unavailable this time.
Separate three stages

The second stage is not completed collection. Tell your child the adults are investigating an arrangement without naming a definite new collector.
Transfer the details after a yes
Once the aunt confirms, provide the practical information she needs. Tell your child and the organiser through the activity’s procedure. Explain who is collecting and which parts of the usual plan still apply.
If the aunt can do only part, clarify the remainder before calling the arrangement finished. Your child should not have to work out how the transition between two adults will happen.
If the answer is no or does not arrive
Return to the original responsible adult and choose another workable arrangement. Do not say “the aunt is probably on her way” without confirmation. Use a contact method capable of providing the answer within the time available.
Afterwards, update the backup list with people willing to be asked and the information they need. Keep general willingness separate from specific availability. Backup help can remain a friendly offer with a clear agreement each time you actually use it.
