The venue is unavailable: check the alternative before promising another outing

The family was going to a small exhibition, but the host says it is closed that day. You immediately announce: “We will go to the workshop next door instead.” You have not checked opening, availability or your child’s interest. The cancellation is confirmed; the replacement is only an idea.
Give the certain message first
Tell your child: “The exhibition is closed, so that plan cannot happen. I would like to investigate the workshop, but do not know whether we can go.” You can be specific without promising a new activity will rescue the day.
Note the distinction:
| Plan | What you know |
|---|---|
| Exhibition | Unavailable on the agreed day |
| Workshop | Possible alternative needing checks |
| Something at home | Can be considered without waiting for the workshop |
Your child can express a preference before you spend time arranging an unwanted replacement.
Check the new venue as a new plan
An adult investigates opening hours, participation format, availability and travel. Avoid assuming the neighbouring building has the same times. If registration is required, a free time slot is not a confirmed place until the organiser settles it.
Explain any differences. A workshop may involve making something, while the original plan involved looking. A yes to the exhibition is not automatically a yes to the new format.
Confirm only when the parts fit
Once the venue, child and family adults have clarified the plan, say: “The workshop works. We have arranged to join from one until two.” Update anyone meeting you or accompanying the child. They should not first receive the new location while already travelling.
If the alternative fails, say so clearly. You need not keep proposing bigger outings to replace the first. A quiet day at home or another question about a different date remains possible.
If you already promised the workshop, correct your wording: “I described it as decided before checking. That was premature.” Next time, preserve the distinction between an unavailable venue, a desired alternative and a new agreement the family has actually confirmed.
