Cancelled hobby session, no child’s phone: make an adult message chain

The organiser cancels this afternoon’s hobby session in a message to adults. Your child has no personal phone and still expects to go. The message sits on one adult’s screen while another prepares for the usual journey. Information has not reached the actual afternoon arrangement.

One option is a simple adult chain: one person receives the notice, someone confirms who will tell your child, and the adult accompanying or collecting gets the update. Your family need not give your child a phone to fill this particular gap.

Find who actually receives cancellations

Check the organiser’s usual channel. Is it email, a messaging service or a phone call? Which adult receives notices? If several receive them, choose who follows up that day. Otherwise, a cancellation can sit unanswered because everyone assumes somebody else read it first.

Try this short checklist:

  • The session and date match your child’s activity.
  • An adult has read the whole notice, including any replacement date.
  • Your child has received an explanation they can understand.
  • The adult accompanying or collecting has confirmed the change.
  • Adults have clarified other arrangements linked to the session.

That last point might involve a friend travelling with you. Tell that family the journey is cancelled instead of assuming the same organiser’s message reaches everybody.

Give the information before a replacement plan

Start with: “The drawing group is cancelled today. The organiser told us adults.” Your child may be disappointed even if you have a good alternative. Allow room for that response before offering something new.

If your child already heard different information, explain what changed: “The plan was correct this morning. We received a new message afterwards.” They should not be left thinking they misunderstood the whole day.

An example involving two adults

One adult reads the cancellation at work and messages the other: “Today’s session is cancelled. Could you tell our child before you leave?” The other replies: “Our child knows; we are not going.” Both information and action are now confirmed.

If the second adult does not reply, the task remains unresolved. Use a contact method through which you can actually reach each other. Do not treat a sent message as a completed explanation to your child.

Keep the same chain short next time. Also check whether the cancellation affects only this session or changes the next one. That makes returning to the usual arrangement easier without promising a replacement date the organiser has not yet provided.
